How ClearView handles requests, private conversations, email access, attachments, and optional AI help.
This notice describes request storage, authorized access, optional AI chat, and ways to contact ClearView about your information.
Information you choose to share
ClearView Cleaning Services LLC uses your name, contact details, property address, service preferences, descriptions, and photos to review your request, prepare a team-written quote, and discuss service. Email is required for online requests; phone is optional. Please keep payment-card details, entry codes, and unrelated sensitive information out of forms, messages, and uploaded photos. Uploaded photos remain private request attachments and are not automatically approved for public gallery use.
Private requests and conversations
When My requests is enabled, customers verify ownership of their request email address before viewing eligible quote and walkthrough requests, submitted details, attachments, published quote versions and shared invoices, team replies, their own messages, recorded decisions, cleaning time requests, confirmed appointments, verified payment records, and completion dates. A request reference or email address alone does not grant access. Authorized ClearView staff review these records through the separate, authenticated owner workspace. Private customer messages, quotes, and shared invoices are stored with their request; they are not AI-generated team replies.
Private conversations are server-stored records. They are separate from public AI help and do not disappear when general chat is cleared, when its local 30-day history expires, or when you sign out. Older internal quote drafts and internal staff records are not published as customer quotes.
Email verification and essential cookies
Customer request emails include a private link that signs you in and opens your request directly when you click it. You do not need to re-enter your email or wait for a second email. These notification links can be reopened on another device and expire after seven days. Anyone with the link may access requests for that email, so keep it private and do not forward it. The website checks that the linked request is still available to the same email address before signing you in.
If a notification link expires, request a fresh link from My requests. A separately requested access link expires after 20 minutes and can be used once. Successful sign-in creates a separate customer session lasting up to seven days, using an essential HttpOnly sign-in cookie. Sign out on shared devices. Link and session tokens are stored as hashes for verification; queued link payloads are encrypted at rest using a server-held key until submitted to the email service or expired. Expired authentication and throttling metadata is periodically cleaned up after a 48-hour retention window; private service conversations have no automatic 30-day deletion.
Verification and message limits use cryptographic connection and address keys to reduce repeated requests. These controls do not grant permission to market to you. Clearing the public chat does not sign out the private customer session; use its Sign out action.
Service emails and providers
When enabled and configured, ClearView sends request acknowledgments, secure access links, team-reply and quote notices, decision acknowledgments, cleaning and payment updates, and actual walkthrough confirmation or change notices using the connected business Google email service. The service processes recipient addresses, email content, private action links, and sending metadata. Customer notification buttons include sign-in access; owner notification buttons link to the separately authenticated owner workspace and never contain customer sign-in access. Notification subjects and inbox preview text avoid private links, detailed addresses, private message contents, pricing, payment details, and entry information.
A queued email or a message accepted by Google is not proof of delivery to an inbox. The website conversation is the authoritative request history. Reply on the website: replying directly to an email does not add a message to that thread. The owner can see delivery problems and safe retry or reconciliation controls. SMS automation and inbound email synchronization are not enabled.
Storage and authorized access
The website runs on Netlify or Cloudflare Workers according to the active deployment. Restricted attachments use Netlify storage on Netlify and private Turso database storage on Cloudflare. The configured Turso database stores requests, private messages, published quote versions, shared invoices, decisions, session records, and notification status. Access is checked on the server for each request, message, invoice, and attachment. Public AI help has no tools or access to these private records. Service providers process data needed to operate their services under their own terms and privacy practices. The site does not collect card details or automatically verify a Chase payment. If ClearView includes a Chase payment link in a shared invoice, opening that link takes you to Chase, which processes information under its own privacy practices.
Optional public AI help
Public AI help sends the messages you type there and recent public-chat context to generate a reply. On Netlify, this goes through Netlify AI Gateway to OpenAI; Netlify also processes usage metadata. On Cloudflare, Cloudflare Workers AI processes the chat directly. Cloudflare says its standard inference does not retain chat inputs or outputs after they are no longer needed to deliver a reply, subject to its stated exceptions, and does not use that content to train models; it may retain operational metadata. AI answers are labeled AI assistant; actual staff messages in My requests are labeled ClearView team. Public AI cannot read private threads, publish a team quote, accept a quote on your behalf, reserve an appointment, or process payment. Do not paste private request details into AI help.
Only the general AI conversation and its open state are saved in the same browser for up to 30 days, without extending the expiry on return. Anyone using that browser profile may see that local chat. Clear chat removes those local messages; browser settings can remove them sooner. Clearing them does not erase information already processed by providers under their service policies. The website does not copy the public AI transcript into the private request conversation.
Private team sign-in
Authorized staff use the shared business email and a separate website sign-in. The Netlify deployment uses a website password; the Cloudflare deployment uses a time-limited email sign-in link. The site stores a password hash for password sign-in, hashed one-time link tokens for email sign-in, and staff sessions, and uses essential authentication cookies. Sign-in records can include connection, browser, and attempt metadata. Customer verification does not create or grant a team account.
Retention, correction, and deletion requests
Request details, attachments, messages, quotes, shared invoices, decisions, and service email records currently have no automatic retention deadline. They remain stored until ClearView processes an appropriate correction or deletion request or adopts a retention schedule. Contact clearviewcleaningsvc@gmail.com or 985-218-5765 and identify the request without sending card details or entry codes. ClearView may need to verify your identity and retain information needed for service, recordkeeping, disputes, or applicable obligations. A deletion request is reviewed rather than promised an invented completion deadline. Copies already sent to email inboxes or held in provider backups are also subject to those providers’ controls and retention practices.
